Who we are. Shelfdrop Ltd, registered in England and Wales (company number 16604856), 105 Piccadilly, London W1J 7NJ. We are the data controller for personal data described here. Contact: start@shelfdrop.com.
This website, analytics and cookies
Visit counts without cookies. We use Vercel Web Analytics, which counts page views, the page you came from, your device type and your country. It sets no cookies, does not build a profile of you and does not follow you to other sites.
Google Analytics and Google Ads, only if you say yes. If you accept on the cookie banner, Google sets cookies (named _ga) to measure how visitors use the site and so we can show Shelfdrop ads to people who have visited, and Google processes that data for us. If you choose "No thanks" it never loads. You can change your mind at any time with "Cookie settings" at the foot of every page. The legal basis is your consent.
Saved on your device. The site keeps a few small settings in your browser's local storage: your cookie choice, how many free product views you have used today and, if you sign up, your Shelfdrop Intelligence account token and Pro access code. Your cookie choice and view count never leave your device. The token and access code are sent only to our own server: the access code goes to /api/pro-access to renew your Pro access. None of it is shared with anyone else.
Forms and tools
Contact and sign-up forms. What you type is sent to our customer database (HubSpot) so we can reply or send what you asked for. If a form cannot send, it opens your own email app instead.
Label checker and brand snapshot. Label photos, and the brand name or website you enter, are sent to our AI provider (Anthropic) to produce your result. We do not keep the photos.
Price alerts and your account. When you set a price alert, follow a brand or sign in to your account, we keep your email address, the alerts you set and the bottles you save, so we can show them on any device and email you when a price drops. Emails are sent by our email provider (Resend). We never sell or share this list. Remove any alert from the link in our emails, or delete your account and everything we hold for it from your account page.
The Shelf Report. If you sign up to our weekly email we keep your email address and what you told us you do (drinker, industry or press), so we can send the right version. Emails are sent by our email provider (Resend). Every issue has a link to unsubscribe, and you can ask us to delete your details at any time.
Shelfdrop Intelligence Pro. Payments are taken by Stripe. We never see your card details; we keep your email address and subscription status to give you access.
Reader reviews, photos and brand pages
Reader reviews. When you review a drink on Shelfdrop Intelligence, we keep what you send: your star rating, title and review, the name you chose to show, whether you bought or tasted it, your email address and your photo if you add one. It is stored privately with our hosting provider (Vercel) while we check it, and your email and review go into our customer database (HubSpot) so we can contact you about it. If we publish it, the rating, title, review, your display name, the date and whether you bought or tasted it appear on the bottle's page, where anyone, including search engines, can see them. Your email address is never published. We only use it to contact you about your review, unless you tick the box for the Shelf Report. The legal basis is our legitimate interest in running reader reviews; the Shelf Report is by your consent. Our review rules say how we check reviews.
Photos. The form shrinks your photo and removes its location and camera data before it is sent. We delete the uploaded copy once we have approved or turned down the review. A published photo is a resized copy, without that data, that becomes part of the website.
Brand page claims and updates. If you claim a brand's page or suggest an update to it, we keep your name, role, work email, the brand's website, your message and the facts you send, privately with Vercel and in HubSpot, to check your claim and contact you about it. We compare your email's domain with the brand's website. The brand page shows only that the brand is verified, the facts we approve and the date, never your name or email. The legal basis is our legitimate interest in keeping brand pages accurate.
How long we keep it. A published review, and the private record with your email, stays for as long as the review is on the site. If we don't publish a review or a claim, or take one down, we delete the private record after 12 months. Copies in HubSpot follow the two-year rule for enquiries below.
Taking it down. To have your review, photo or claim removed, or your details deleted, email start@shelfdrop.com from the address you used and tell us the bottle or brand. A published review comes off the site at the next weekly update.
When you email us
If you introduce your brand or otherwise contact us, we keep your name, email address, company and the content of your message so we can reply and, if we go on to work together, manage that relationship. The legal basis is our legitimate interest in responding to enquiries and, later, performance of a contract. We keep enquiries for up to two years if we do not work together, and for the life of the relationship plus six years if we do.
Our ads on Google, LinkedIn and Meta
Showing our ads to business contacts. If you work at a drinks brand or company we deal with, or have been in touch with us, we may give your work email address to Google, LinkedIn and Meta so they can show you Shelfdrop ads on their platforms. Google calls this Customer Match; LinkedIn and Meta call it matched or custom audiences. The address is hashed (turned into a scrambled code) before it is matched, the platforms use it only to find your account, and they do not tell us who matched. The legal basis is our legitimate interest in telling business contacts about our services.
Opting out. Email start@shelfdrop.com with "No ads" and we will take you off every list at the next update. You can also turn off personalised ads in your Google, LinkedIn and Meta ad settings.
Brands we work with
Brands using the Shelfdrop portal are covered by the portal's own terms and privacy notice, provided at onboarding.
Sharing
We use email, hosting (Vercel), customer database (HubSpot), payment (Stripe), analytics (Vercel, and Google if you accept), advertising (Google, LinkedIn and Meta, as described above) and AI (Anthropic) providers to run our business, who process data on our behalf. We do not sell personal data.
Your rights
You can ask for a copy of the personal data we hold about you, ask us to correct or delete it, or object to our use of it, by emailing start@shelfdrop.com. You can also complain to the Information Commissioner's Office at ico.org.uk.
